This Privacy Policy describes how AlwaysOnTax LLC ("AlwaysOnTax," "we," "our," or "us") collects, uses, and shares information about you when you access or use alwaysontax.com, the AlwaysOnTax web application, or any other website, application, or service that links to this Privacy Policy (collectively, the "Services"). By accessing or using the Services, you agree to this Privacy Policy.
AlwaysOnTax is a personal finance education platform focused on U.S. income taxes. We do not provide tax, financial, investment, accounting, or legal advice. We do not prepare, file, amend, sign, or submit tax returns, and we do not represent users before the Internal Revenue Service or any other tax authority. Please review our Terms of Use for further information about the scope and limitations of the Services.
1. Eligibility
The Services are intended solely for individuals who are at least 18 years old and who reside in the United States. By using the Services, you represent that you meet these requirements. If you do not, you may not access or use the Services.
2. Information We Collect
2.1 Information You Provide to Us
We collect information that you provide directly when you create an account, use the Services, or otherwise interact with us. This may include:
- Contact and identity information, such as your name, email address, date of birth, phone number, and mailing address;
- Government identifiers, such as your Social Security Number or other taxpayer identification numbers;
- Household and tax-profile information, such as your filing status, state of residence, and information about your spouse, dependents, and other household members;
- Financial information, including income, withholding, deductions, credits, retirement-account activity, equity-compensation details, investment activity, and other tax-related financial details that you enter or that are derived from documents you upload;
- Tax and financial documents that you upload, such as prior-year tax returns, W-2s, 1099s, 1098s, 5498s, K-1s, paystubs, equity award statements, brokerage statements, and similar records;
- Account credentials, security settings, and two-factor authentication information;
- Billing-related information you provide to our third-party payment processor (we do not receive or store full payment-card numbers); and
- Any other information you choose to provide when contacting us, responding to surveys, or otherwise communicating with us.
2.2 Information Collected Automatically
When you access or use the Services, we and our service providers may automatically collect certain information about your device and activity, including IP address, browser type and version, operating system, referring and exit pages, pages visited, features used, date and time of access, session identifiers, error logs, and similar technical information. We use cookies and similar technologies to authenticate you, maintain your session, remember your preferences, secure the Services, and understand how the Services are used.
2.3 Information From Third Parties
We may receive limited information about you from third parties, such as confirmations and metadata from our payment processor, identity- and fraud-prevention signals from security providers, and information you authorize a third-party service to share with us.
2.4 Sensitive Information
The Services involve the processing of sensitive personal information, including government identifiers and financial information. We collect this information to provide the Services and handle it in accordance with this Privacy Policy and applicable law. You are responsible for ensuring that any information you upload about other individuals (such as household members) has been provided to us with appropriate authority.
3. How We Use Your Information

- Generating educational content, illustrations, estimates, forecasts, and scenario models based on the information you provide;

- Sending you marketing and promotional communications, where permitted by law (you can opt out at any time);
- Processing payments, managing subscriptions, and preventing fraud;
- Improving, developing, and evaluating the Services, including by training, testing, fine-tuning, and evaluating the artificial intelligence and machine-learning models that power the Services, and by producing de-identified or aggregated data that no longer identifies you;
- Responding to your inquiries, requests, and feedback;
- Conducting research, analytics, and business operations;
- Detecting, investigating, and preventing fraud, abuse, and violations of our terms or applicable law; and
- Complying with legal, regulatory, and audit obligations, enforcing our agreements, and protecting our rights, property, and the safety of others.
4. How We Share Your Information
We do not sell your personal information, and we do not share your personal information for cross-context behavioral advertising. We may share information as follows:
- Service providers. We share information with third-party vendors and contractors that perform services on our behalf. These include, without limitation, cloud hosting and storage providers; artificial-intelligence and machine-learning service providers that help us extract data from documents and power platform features; payment processors; email, messaging, and customer-support providers; analytics and performance providers; security and fraud-prevention providers; and professional services providers such as auditors and legal counsel. Service providers are permitted to use information only as needed to perform services for us and are bound by appropriate confidentiality and security obligations.
- Within your household. Information associated with a shared household account may be accessible to the authorized users of that account. If you add a spouse or other household member, you represent that you have the authority to do so.
- Legal and safety. We may disclose information if we believe in good faith that disclosure is required by law or legal process, requested by a governmental or regulatory authority, or necessary to enforce our agreements, investigate potential violations, prevent fraud, protect the rights, property, or safety of AlwaysOnTax, our users, or others, or respond to an emergency.
- Corporate transactions. We may disclose or transfer information in connection with, or during negotiations of, any proposed or actual financing, merger, acquisition, reorganization, sale of assets, or similar corporate transaction, or in the event of bankruptcy or insolvency.
- Aggregated or de-identified data. We may create and share data that has been aggregated or de-identified so that it does not reasonably identify you.
- With your consent. We may share information for any other purpose disclosed to you at the time of collection or with your consent.
5. Artificial Intelligence and Automated Processing
The Services use artificial intelligence and machine-learning technologies to, among other things, classify and extract information from the documents you upload, generate educational illustrations and estimates, and improve the performance of the Services. Information you submit to the Services, including uploaded documents and entered data, may be processed by these technologies, which may be operated by us or by service providers on our behalf. We may also use information submitted to the Services, including in de-identified or aggregated form, to train, evaluate, and improve our own and our service providers' models and related technology. The Services do not make decisions that produce legal or similarly significant effects about you without human involvement.
6. Cookies and Similar Technologies
We use cookies and similar technologies to operate and secure the Services, remember your preferences, maintain your session, and understand how the Services are used. Our analytics and performance providers may set first-party cookies or similar identifiers to measure usage of the Services and help us improve them. Most browsers allow you to control or delete cookies through their settings; however, disabling cookies may impair the functionality of the Services.
7. How We Protect Your Information
We use commercially reasonable administrative, technical, organizational, and physical safeguards designed to protect the information we collect, including encryption of data in transit and at rest, access controls, network monitoring, and support for two-factor authentication on user accounts. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your account credentials and for promptly notifying us of any suspected unauthorized access.
8. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, fulfill the purposes described in this Privacy Policy, comply with our legal, regulatory, tax, accounting, and audit obligations, resolve disputes, enforce our agreements, and protect our and others' rights. When you delete your account, we will initiate deletion of your personal information in accordance with our retention practices and applicable law; some information may remain in backup, archival, or log systems for a limited period, or may be retained where required or permitted by law.
9. Your Choices
- Access and correction. You can view and update certain information directly in your account. You may also request access to or correction of your personal information by emailing us at legal@alwaysontax.com.
- Account deletion. You may delete your account through the Services. You may also request deletion of your personal information by emailing legal@alwaysontax.com.
- Marketing communications. You may opt out of marketing emails by following the unsubscribe instructions in those messages or by contacting us. You cannot opt out of service, transactional, or security-related communications related to your account.
- Cookies. You can control cookies through your browser settings, though doing so may affect the functionality of the Services.
10. Notice to California Residents
This section supplements the rest of this Privacy Policy and applies to California residents. It is provided in accordance with the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the "CCPA").
10.1 Categories of Personal Information
In the preceding 12 months, we have collected the following categories of personal information, as described in Section 2 above:
- Identifiers (e.g., name, email address, mailing address, phone number, IP address, account identifiers);
- Customer records information (e.g., contact and billing information);
- Characteristics of protected classifications (e.g., age, marital/filing status, information about dependents);
- Commercial information (e.g., subscription and transaction records);
- Internet or other electronic network activity information (e.g., device, browser, and usage data);
- Geolocation data (general, derived from IP address);
- Professional or employment-related information (e.g., employer, occupation, compensation details);
- Sensitive personal information, including Social Security Numbers and other government identifiers, account log-in credentials, and precise information concerning your finances; and
- Inferences drawn from the above to support the Services (e.g., modeled tax outcomes and educational recommendations).
The sources of this information, the purposes for which it is used, and the categories of third parties with which it is shared are described in Sections 2, 3, and 4 above.
10.2 Sale and Sharing of Personal Information
We do not "sell" personal information and do not "share" personal information for cross-context behavioral advertising, as those terms are defined under the CCPA. We do not knowingly sell or share the personal information of consumers under the age of 16.
10.3 Your California Privacy Rights
Subject to certain exceptions, California residents have the following rights:
- The right to know what personal information we collect, use, disclose, and (if applicable) sell or share about you;
- The right to request a copy of your personal information, including in a portable format;
- The right to request correction of inaccurate personal information;
- The right to request deletion of your personal information;
- The right to limit the use and disclosure of sensitive personal information to certain permitted purposes;
- The right to opt out of the sale or sharing of personal information (although, as stated, we do not sell or share personal information); and
- The right not to receive discriminatory treatment for exercising these rights.
To exercise any of these rights, email us at legal@alwaysontax.com. We may need to verify your identity before responding to your request. You may also designate an authorized agent to submit a request on your behalf; we may require written proof of the agent's authority and may verify your identity directly. We will respond to verified requests within the time required by law.
10.4 "Shine the Light"
California Civil Code Section 1798.83 permits California residents to request information about our disclosures, if any, of personal information to third parties for those third parties' direct marketing purposes. To make such a request, email us at legal@alwaysontax.com.
10.5 Residents of Other U.S. States
A number of other U.S. states have enacted comprehensive consumer privacy laws that provide residents with rights similar to those described above, which may include rights to access, correct, delete, obtain a copy of, or limit the processing of personal information, and to opt out of certain forms of processing. Where you are a resident of such a state, we will honor the rights granted to you under the applicable law to the extent it applies to our processing of your personal information. 11. Children's Privacy
The Services are not directed to, and we do not knowingly collect personal information from, individuals under the age of 18. If you believe we have collected personal information from a minor, please contact us at legal@alwaysontax.com and we will take appropriate steps to delete the information.
12. Third-Party Websites and Services
The Services may contain links to, or integrate with, third-party websites, applications, and services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you use.
13. Users Outside the United States
The Services are provided and operated in the United States and are intended only for U.S. residents. If you access or use the Services from outside the United States, you do so at your own risk and you consent to the transfer, storage, and processing of your information in the United States, where data-protection laws may differ from those of your jurisdiction.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Services or by other appropriate means and will update the "Effective Date" above. Your continued use of the Services after the updated Privacy Policy takes effect constitutes your acceptance of the changes.
